Installing WeSync

1.  Data Back Up
As with all applications that store important data, it is a good practice to make regular back ups of this data. Therefore, we recommend that - if you are not already doing so - you back up your Palm Desktop and, if applicable, 3rd party desktop PIM application data both before installing WeSync and daily as you sync your handheld and desktop applications.

  • Palm Desktop Applications
    For your protection, during installation the WeSync Setup program backs up the main Palm Desktop application data files - Address Book, Date Book, Memo, and To Do - for all existing User profiles. The backups are stored as follows:
        \Palm\<username>\WeSync\backup<date>
        where   '<username>' is the folder name for each Palm Desktop User Profile
        and      '<date>' is the WeSync installation date

  • 3rd Party PIM Desktop Applications
    Since the WeSync Setup program does not know about any 3rd party desktop PIM applications you may be using to sync with your handheld, we recommend that you back up your applicable calendar and address book data files prior to installing WeSync.

  • WeSync Desktop
    We recommend that you make daily back ups of the WeSync cache files - in your c:\Palm\<username>\WeSync folder. FYI, these files store all the information about your shared resources as well as the data for the shared calendars that display in the WeSync Desktop Viewer and the shared event attributes for your main, personal Date Book calendar.

2.  Installation Options

  • Full Installations
    Most commonly used for 1st time installs and for re-installs.

  • WeSync Wireless
    If you wish to use the WeSync Wireless Refresh™ feature with your Palm VII™ Wireless Connected Organizer, be sure to select the 'WeSync Desktop and Wireless for Palm VII Handheld' option during the WeSync installation process.

  • Note: The first release of WeSync with Wireless Refresh is designed to work exclusively with the Palm VII and the Palm.Net service. Email NewPlatforms@wesync.com to be kept posted on upcoming WeSync support for other wireless products & services.
  • Desktop Only Installations
    Appropriate for non-handheld users only.

Note: Though this selection disables both the WeSync Calendars and WeSync Contacts HotSync conduits, these conduits can be re-enabled at any time via the HotSync Manager 'Custom' dialog.

3.  PIM Sync Settings
The WeSync Setup program prompts you to select one of the following PIM Sync settings.

Note: You can change your PIM Sync setting at any time via the WeSync Preferences dialog (accessible from the WeSync Desktop Viewer 'Edit' menu or by right-clicking the WeSync Desktop 'tray' icon in the bottom right corner of your Windows desktop):

  • Palm Desktop
    3-way syncing is supported, meaning that at the end of a HotSync operation, any changes coming in from the WeSync Server and/or WeSync Desktop Viewer will be synced with the Palm Desktop.

  • 3rd Party PIM
    2-way syncing is supported, which means that 2 HotSync operations are required for external changes coming from the WeSync Server or Desktop Viewer to get updated to the PIM.

  • WeSync Desktop
    The WeSync Calendars & Contacts conduits are disabled (but can be re-enabled at any time via the HotSync Manager 'Custom' dialog).

  • Don't know which PIM
    The WeSync Calendars & Contacts conduits are disabled (but can be re-enabled at any time via the HotSync Manager 'Custom' dialog).

DateBk3 Compatibility
DateBk3 users should select the 3rd Party PIM Sync setting during installation. You can also select this setting via the WeSync Preferences dialog (accessible from the WeSync Desktop Viewer Edit menu or by right-clicking the WeSync Desktop icon in the 'tray' bar at the bottom right of your Windows desktop).

Note: If changes from the WeSync Server are not being received on your main, personal calendar in the Palm Desktop or 3rd party PIM, then make sure you have the appropriate 'PIM Sync' box checked in the WeSync Preferences dialog.

4.  Upgrading WeSync

  • Version Compatibility & Sharing Resources
    You are not likely to experience problems after upgrading your WeSync installation due to sharing resources with others who are running different versions of WeSync. However, to ensure uninterrupted, successful syncing all members of the communities you belong to should upgrade to same version of WeSync as soon as possible.

  • Upgrading from WeSync Beta
    WeSync Beta users can upgrade to the current version of WeSync by logging in to their Personal Home page and clicking the 'Upgrade or reinstall' link under the 'My WeSync Account' section at the bottom of the page. See the WeSync Beta Upgrade Release Notes for more details.

Important
When upgrading from WeSync Beta, you must delete the Beta version of the wsCalendars application on your handheld before you install the new version (but do not delete the wsContacts application).

If you perform a HotSync operation to install the new WeSync apps on your handheld without having deleted the Beta wsCalendars application, you will need to delete the new wsCalendars app and then re-install it. To re-install the wsCalendars application:

5.  Syncing Multiple Handhelds to One WeSync Account is Not Supported
Each handheld must be linked to a separate, unique WeSync User Account. Syncing two different handhelds to the same User Account can cause severe data corruption to your Palm Date Book and Address Book databases.

6.  WeSync on Multiple Desktops
If you have a computer at work, one at home, and a laptop for travel, you can install WeSync on, and link your WeSync User Account to, all these systems and synchronize your shared WeSync resources any time you want to via your handheld, or with just the WeSync Desktop Viewer if you wish.

You can even 'piggyback' on a friend's or colleague's desktop to get the latest updates from the WeSync Server. All the WeSync Desktop Viewer needs to have any system is the Palm Desktop Software, which you can get for free from the Software Downloads section under Support at Palm's web site.

Note: You can install both the Palm Desktop Software and WeSync without performing a HotSync with your handheld - just skip the installation steps that prompt you to do so.

7.  Using WeSync Without a Handheld
People who do not have handheld computers can use the WeSync Desktop Viewer to access and update others' calendars via syncing with the web-based WeSync Server. Some common situations where this works well are where a central secretary or administrator needs to be able to update one or more handheld user's calendars, such as a medical clinic, a remote sales force, or a geographically dispersed management team. Following are instructions for how a non-handheld user can set up this type of scenario.

Note: The ability to share Contact Lists with others via the WeSync Desktop only will be provided in a future version of WeSync Contacts.

  • Install the Palm Desktop Software
    WeSync requires that Palm™ Desktop Software & HotSync® Manager 3.0 or higher be installed. Because Palm Inc. has granted WeSync.com a redistribution license, anyone who wishes to use the WeSync Desktop Viewer without a handheld can legally install the Palm Desktop Software for this purpose.

    Non-handheld users can obtain the Palm Desktop Software (which includes HotSync Manager) for free by going to the Support area of Palm's Web site and clicking on the Software Downloads link.

    Note: You can install both the Palm Desktop Software and WeSync without performing a HotSync with your handheld - just skip the installation steps that prompt you to do so.

  • Set Up a WeSync User Account & Install the WeSync Desktop Software
    Just as those with handhelds do, non-handheld users need to Download & Install WeSync then Sign up as a New User.

    Note: When the WeSync Setup program asks what type of install to do, select 'WeSync Desktop only'.

    Important
    This selection disables both the WeSync Calendars and WeSync Contacts HotSync conduits. Note that these conduits can be re-enabled at any time via the HotSync Manager 'Custom' dialog.

  • Set Up Communities, Publish, Share, & Subscribe
    Once everyone in the group have their WeSync User Accounts set up & WeSync installed on their respective desktops & handhelds, one of the group members - an admin without a handheld perhaps - goes to her/his Personal Home Page (via either a browser or the 'WeSync Web Site' tool bar icon in the WeSync Desktop Viewer) and Creates a private Community for the group.

    Then the admin Invites the other members to join the community, which will generate email to them with instructions on how to join.

    After Joining, the group members each Publish their respective calendars via WeSync on their handhelds or desktops and perform a HotSync + 'Sync to the WeSync Server'. Next, they go to the community via their Personal Home Pages and Share their published calendars so the other members - and the admin - can Subscribe to them. After subscribing, each person needs to HotSync + 'Sync to the Server' again - or 'Sync to the Server' only in the case of the admin - to bring their subscribed calendars down to WeSync on their desktops & handhelds.

    The admin can now use the WeSync Desktop Viewer to view & edit each person's individual calendar, schedule meeting & events across all or some of the group's calendars, and even create new calendars for group events - such as a marketing or training schedule, for example - and share these calendars for others to subscribe to.

    Because every WeSync user can set up as many private communities as they wish, the admin can control who is invited to and therefore becomes members of each community. The admin can also create separate 2-person communities for confidential information to share with the group members individually.

  • Sharing a Non-Handheld User's Personal Calendar
    If non-handheld users wish to share their personal calendar with other WeSync users, they will need to use the WeSync Desktop Viewer. Syncing personal schedule information stored in a 3rd party desktop PIM - such as Microsoft® Outlook - without performing a HotSync operation with a handheld is not supported at this time.

8.  Re-installing WeSync on the Handheld

  • Launch the Palm Desktop
  • Click the 'Install Tool' icon (on the left side of the display)
  • Select the desired 'User' profile
  • Click the 'Add' button
  • From the 'Add-on' folder, double-click the wsCalendars.prc file, then click 'Done'
  • Repeat for wsContacts.prc.
  • Perform a HotSync operation to re-install wsCalendars

Note: when you run the Wesync Installer on multiple PCs, you do not need to re-install the WeSync .prc apps on your handheld.

9.  Re-installing WeSync on the Desktop
Re-installing WeSync on your desktop is as simple as re-running the WeSync Installer. Not only is un-installing WeSync not necessary, we recommend that you do not remove WeSync before re-installing - even if you're re-installing because you've been having problems. Rather, if you are concerned about problems you are encountering, please contact support@wesync.com.

  • Do Not Delete the WeSync Cache Files
    Deleting the WeSync cache files - stored in your c:\Palm\<username>\WeSync folder - will result in your Date Book calendar being duplicated in the WeSync Calendars application on both your handheld and desktop. Further, your handheld Date Book calendar will no longer sync successfully with the WeSync Desktop Viewer or the WeSync Server.

10.  Installation Error Messages

  • 'Instaide was unable to determine the Palm Directory'
    This error message means that you are attempting to install WeSync on a system that does not have the Palm Desktop Software on it yet.

    WeSync requires that Palm™ Desktop Software & HotSync® Manager 3.0 or higher be installed. You can obtain the Palm Desktop Software for free by going to the Support area of Palm's Web site and clicking on the Software Downloads link. Note that the Palm Desktop Setup program also installs HotSync Manager.

  • 'Failed to load Conduit Manager DLL'
    If you encounter a Failed to load Conduit Manager DLL error during installation, you either need to upgrade your Palm Desktop Software & HotSync Manager or direct your Palm data files to be stored in the main Palm directory on your computer and then re-run the WeSync Installer.

    • Upgrading Your Palm Desktop Software
      WeSync requires that your Palm Desktop Software and HotSync Manager be at version 3.0 or higher. You can upgrade for free by going to the Support area of Palm's Web site and clicking on the Software Downloads link.

    • Changing Where Your Palm Data Files Are Stored
      To change the directory where your Palm data files are stored, select 'Options' under the Palm Desktop 'Tools' menu.

      Note: The default install directory for current releases of the Palm Desktop Software is c:\Palm, but for older versions it might be some variation of c:\PalmPilot.
